Assignment Manager

Procedures

Use this panel to assign story and content development tasks to Inception users and to monitor the status of your assignments. Development task assignees use this panel to access view and manage their assignments.

You require an NCS license for your Inception system to access the Assignment Manager panel. Also, you cannot use the Assignment Manager on a mobile device. Please contact Ross Video to purchase an NCS license for your Inception Server.

Toolbar

Grid View - Default

Print — click or tap this icon to print the assignments listed in the Assignment table.

Create Assignment — click or tap this icon to use the New Assignment dialog box to create a new assignment.

Remove — click or tap this icon to delete the assignment selected in the Assignment table.

Filter — click this icon to open the Filter box. In the Filter box, enter a portion of the following attributes associated with the assignments you are looking for:

The Assignments table updates to display only the assignments with attributes that contain the entered information. Clicking in the Filter box also opens a list of previously entered filters below the box. To reuse a filter select it from the list.

Yesterday — click or tap this icon to view the assignments that were active yesterday. The Assignment Manager title bar displays the selected date.

Tomorrow — click or tap this icon to view the assignments that are active tomorrow. The Assignment Manager title bar displays the selected date.

From — click or tap this icon to use the Calendar tool to select the start date of the date range to view active assignments. The Assignment Manager title bar displays the start and end dates of the selected range.

To — click or tap this icon to use the Calendar tool to select the end date of the date range to view active assignments. The Assignment Manager title bar displays the start and end dates of the selected range.

No Expiry — click or tap this icon to view the assignments that do not have set start and end dates. The Assignment Manager title bar displays “No Expiry” when displaying assignments that do not have set start and end dates.

From Today — click or tap this icon to view the assignments that are active from today until the end of time. The Assignment Manager title bar displays “From” with the current date.

Previous Day — click or tap this icon to view the assignments that were active in the previous month, week, or day to the date displayed in the Assignment Manager title bar.

Notify — click or tap this icon to send a notification email to the users assigned to the selected assignment or assignments. This icon is only available under the following conditions:

In Grid view when one or more assignments are selected.

The user must have permission to send notifications.

The Notify Users Before Deadline, Notify On Assignment, and Notify On Modify settings must be cleared on the Assignment Manager tab of the Editorial panel in the Configuration window.

Bottom Toolbar

Showing page number — enter in this box the page number of assignments to view in the Assignments table, then click or tap a blank area of the Assignment Manager panel to display the selected page.

Paging_-_First.png — click or tap this button to view the first page of assignments in the Assignments table.

Paging_-_Previous.png — click or tap this button to view the previous page of assignments in the Assignments table.

Paging_-_Next.png — click or tap this button to view the next page of assignments in the Assignments table.

Paging_-_Last.png — click or tap this button to view the last page of assignments in the Assignments table.

Show — click or tap the following links to set the number of assignments to display in the Assignments table.

5 — display 5 assignments in the Assignments table.

25 — display 25 assignments in the Assignments table.

Folders Tree View

Use this tree view to organize assignments in folders. Each folder in the tree view can contain assignments and other folders. You can only place an assignment in a single folder.

Toolbar

Add Folder — click this icon to add a new folder to the folder selected in the Folders tree view. The folders contained in a folder must have unique names.

Folders_Tree_View_-_Delete_Folder_icon.png 

Delete Folder — click this icon to delete the folder selected in the Folders tree view. You can only delete empty folders.

Folders_Tree_View_-_Rename_Folder_icon.png 

Rename Folder — click this icon to rename the folder selected in the Folders tree view.

Folders_Tree_View_-_Search_in_Folders_icon.png 

Include Subdirectories — click this icon to toggle the Assignments table display of assign­ments contained in the sub-folders of the selected Folders tree view folder. The available display options are as follows:

Folders_Tree_View_-_Search_in_Folders_icon00025.png — only display the assignments contained in the selected folder.

Folders_Tree_View_-_Search_in_Folders_icon_-_Selected.png — display the assignments contained in the selected folder and the assignments con­tained in all the sub-folders within the selected folder.

While in Priority mode the Grid View can only display the assignments contained in the selected Folders tree view folder.

Folders_Tree_View_-_Modify_Permissions_icon.png 

Modify Permissions — click this icon to modify the user role permissions for the selected folder. Only Inception Administrators can modify folder permissions.

Folders_Tree_View_-_Collapse_icon.png 

Collapse — click this icon to collapse the Folders tree view and to view more of the Assign­ments table.

Folders_Tree_View_-_Expand_icon.png 

Expand — click this icon to expand the Folders tree view, enabling you to navigate your folder structure.

 

Folders — use the folders in the Folders tree view to organize your assignments. Select a folder to view the assignments contained in the folder in the Assignments table. To move an assignment into a folder, drag the assignment from the Assignments table into a folder in the tree view. You can also drag folders into other folders. You can also copy assignments between folders.

Users must have permission to mange and view folders. Administrators can set user permissions for each folder in a Folders tree view.

Grid View - Default

Use the Assignments table Grid view in Default mode to view and manage your assignments for a single date or over a range of dates. Each row in the Assignments table represents an story assignment. Double-click an assignment to open it in the Assignment Editor.

Assignees (Edit) — this column displays the names of the users that were given the assignment. Click in this column to use the Assignees list to manage the Inception users assigned to the assignment.

Content — this column displays the supporting information for the stories that assignees will write for an assignment.

Content Time — this column displays the total time of all the broadcast stories in the assignment.

Created (Sort) — this column displays the date and time that the assignment was created.

Created By (Sort) — this column displays the name of the user who created the assignment.

Due Date (Edit | Sort) — this column displays the date and time that the assignment is due. Click in this column to use the Calendar tool to edit the due date and time for the assignment.

End — (Edit | Sort) this column displays the date and time that the assignment ends. When the current date is the same as the set date this column only displays the set time. Click in this column to use the following settings to edit the time for the selected assignment:

Set Time — select this option to change the assignment to one with a start and end time:

Start — click in this box to use the Calendar tool to specify the start date and time for the assign­ment.

End — click in this box to use the Calendar tool to specify the end date and time for the assignment.

No Expiry — select this option to change the assignment to one without a start and end time or date.

All Day — select this option to change the assignment to one with a start and end time.

Start — click in this box to use the Calendar tool to specify the start date for the assignment.

End — click in this box to use the Calendar tool to specify the end date for the assignment.

Save — click this button to save the changes made to assignment time.

Cancel — click this button to not save changes made to assignment time.

Endpoint — this column displays the endpoint name of the Inception Server in a Horizon system that contains the assignment.

Format (Edit | Sort) — this column displays the format (SOT, VO, PKG) for the assignment.

Icon — this column displays an icon that graphically identifies the type of assignment.

Location (Edit | Sort) — this column displays location set for the assignment.

Locked By — this column displays the name of the Inception user who is currently editing the assignment and has the assignment locked. Inception allows two or more Inception users to edit an assignment at the same time. Inception can only guarantee that an assignment contains the last changes saved for an assignment.

Modified (Sort) — this column displays the date and time of the most recent change made to the assignment.

Modified By (Sort) — this column displays the name of the user who last modified the assignment.

Notes (Edit) — this column displays additional information that Inception users may require to complete the assignment.

Program (Edit | Sort) — this column displays the name of the program for which the assignment editor generated the assignment.

Slug (Edit | Sort) — this column displays a brief description of the assignment. When you create a story from within an assignment, the slug name for the new story is the same as the assignment slug name.

Start (Edit | Sort) — this column displays the date and time that the assignment starts. When the current date is the same as the set date this column only displays the set time. Click in this column to use the following settings to edit the time for the selected assignment:

Set Time — select this option to change the assignment to one with a start and end time:

Start — click in this box to use the Calendar tool to specify the start date and time for the assign­ment.

End — click in this box to use the Calendar tool to specify the end date and time for the assignment.

No Expiry — select this option to change the assignment to one without a start and end time or date.

All Day — select this option to change the assignment to one with a start and end time.

End — click in this box to use the Calendar tool to specify the end date for the assignment.

Status (Edit | Sort) — this column displays the current status of the assignment. Click in this column to use the Status list to change the current status of the assignment.

Grid View - Priority

Use the Assignments table Grid view in Priority mode to view and manage your assignments for a single date. Priority mode also enables you to order the assignments set for a date to match your priorities. Each row in the Assignments table represents an story assignment. Double-click an assignment to open it in the Assignment Editor.

While in Priority mode the Grid View can only display the assignments contained in the selected Folders tree view folder.

Assignees (Edit) — this column displays the names of the users that were given the assignment. Click in this column to use the Assignees list to manage the Inception users assigned to the assignment.

Content — this column displays the supporting information for the stories that assignees will write for an assignment.

Content Time — this column displays the total time of all the broadcast stories in the assignment.

Created — this column displays the date and time that the assignment was created.

Created By — this column displays the name of the user who created the assignment.

Calendar View

Use the Assignments table in Calendar view to view and manage your assignments. For each day in the calendar, Inception lists the assignments that are active that day. Double-click an assignment to open it in the Assignment Editor.

month — click or tap this button to view a month at a time in the Calendar view.

Previous Month — click or tap this icon to view the assignments that were active in the previous month to the date displayed in the Assignment Manager title bar.

Next Month — click or tap this icon to view the assignments that are active in the next month to the date displayed in the Assignment Manager title bar.

week — click or tap this button to view a week at a time in the Calendar view.

Previous Week — click or tap this icon to view the assignments that were active in the previous week to the date displayed in the Assignment Manager title bar.

Next Week — click or tap this icon to view the assignments that are active in the next week to the date displayed in the Assignment Manager title bar.

day — click or tap this button to view a day at a time in the Calendar view.

Previous Day — click or tap this icon to view the assignments that were active in the previous day to the date displayed in the Assignment Manager title bar.

Next Day — click or tap this icon to view the assignments that are active in the next day to the date displayed in the Assignment Manager title bar.

Ctrl C 

Copy the selected assignments.

Ctrl D 

View assignments in a calendar format, Calendar View.

Ctrl I 

Open the New Assignment dialog box and create a new assignment.

Ctrl L 

View the active assignments for all users for the date displayed in the Assignment Manager title bar.

Ctrl M 

View only your active assignments for the date displayed in the Assignment Man­ager title bar.

Ctrl V 

Paste copied assignments into the Assignment Manager.

Ctrl Comma 

View the assignments that are due the previous month, week, or day. The Assign­ment Manager title bar displays the current month, week, or day.

Ctrl Period 

View the assignments that are due the next month, week, or day. The Assignment Manager title bar displays the current month, week, or day.

Ctrl Enter 

Open the selected assignment in the Assignment Editor panel.

Ctrl Delete 

Delete the selected assignment.
